Seven chapter and club management tools, by what each one is for

OmegaFi, MyChapterRoom, ChapterBuilder, WildApricot, ClubExpress, MemberPlanet and ours, compared for a chapter or club exec by price and by what each does.

Compare › Fraternity chapter management software

Quick answer

For a chapter whose treasurer wants dues billing, payment plans and a real chapter bank account: OmegaFi. For attendance, excuses and points across the whole chapter: MyChapterRoom. For recruitment alone, with published prices: ChapterBuilder. For an alumni association or club that needs a public website and automatic renewals: WildApricot. For a club with several chapters and a lot of volunteers: ClubExpress. For collecting dues and donations above all: MemberPlanet. For an exec board that needs a shared workspace, secret bid votes and a record the next exec inherits: ours.

"Chapter management software" is sold to two different buyers. One is a national headquarters buying for a hundred chapters at once, with shared banking, compliance reporting and a contract; the other is the officer who was elected in November and wants the chapter to run better by spring. Most Greek-specific products are sold through a demo, and several are easiest to get when your headquarters or campus has already bought them.

This list is for the officer, ordered from the most complete chapter product to the most general club tool. We make one of the seven and it is marked. Every price here is from each product's own pricing page, help center or app store listing, checked in September 2026, and where a price is not published we say so rather than quote a review site.

The list

  1. OmegaFi

Best for: A chapter whose treasurer wants dues billing, payment plans and chapter banking in one place

The most complete product here for a Greek chapter, and the oldest: it has sold to chapters for more than thirty years and says 37 national headquarters use it. Vault is the money side — dues billing with payment plans, FDIC-insured chapter accounts, debit cards, bill pay, budgeting and tax-form help. OmegaOne runs the chapter: roster, attendance with excused absences, points, study hours with a location check, events, messaging, polls and document sharing, and OmegaRecruit handles recruitment with prospect profiles and voting. Members sign in with the account number on their statement, so the chapter has to be a client first. OmegaOne is on iPhone and Android, but its Android app was last updated in 2023, and we found no Android app for Vault or the member portal.

Cost: Not published; every page asks for a demo, and one page offers a 30-day free trial without stating its terms. No free plan. Its billing page offers optional surcharging so members cover up to 3% in card fees; OmegaFi's own fee is not stated.

  2. MyChapterRoom

Best for: A chapter that wants attendance, excuses and points run for every member

Chapter operations rather than chapter money: scan-in attendance with self and guest check-in, excuse forms, incentive points, a calendar, messaging and newsletters, polls, sign-ups and surveys, secure document sharing, an emergency safety check-in, and ten levels of access. It has run since 2001, says it serves more than 300 chapters, and sells to chapters and to headquarters, which get custom reporting across their chapters. Its organizations page adds dues tracking and recruitment software; its chapters page mentions neither, so ask. It runs on iPhone, Android and the web.

Cost: Not published. A free trial of 60 days on request, with no card mentioned. No free plan.

  3. ChapterBuilder

Best for: A chapter whose problem is recruitment, and only recruitment

A recruitment CRM built for fraternity and sorority recruitment: every member can add and endorse prospects, move them through statuses and milestones, and climb a leaderboard for it, with forms, event sign-ins and reports, and on the paid plans texting and calling from inside the app. Councils and headquarters get dashboards across chapters. It does nothing else: no dues, roster, attendance, points or documents. Its prices are clear on its main page, but a second page lists Standard at $60 and Pro at $85 with no billing period. It is sold under Phired Up, on the web, an iPhone app and Android.

Cost: Per chapter, per year: free for up to 10 users; Plus $600 and Pro $850 for unlimited users. Many campuses and headquarters include it in a partnership, so ask before buying.

  4. Chickadee Bandit

    That's us

Best for: An exec board that needs a shared workspace and a record the next exec inherits

A workspace for the people running the chapter. Recruitment Tracker moves prospects from invited to rushed, bid and pledged, with notes and a secret yes, no or abstain vote that records who voted but never how, and only adult members can see it. Points & Recognition runs a leaderboard that resets each period, Attendance shows each member's rate before they drift, and Officer Elections runs a secret ballot, majority or ranked-choice, with a certified result. Member Directory keeps pledge class and role; Alumni lets each alum keep their own city, employer and contact details. Shifts rotates house duties, Guest Log sends overnight stays to leadership, who cannot approve their own guest, and Awards Night seals superlative picks until the ceremony. Each member keeps their own household private beside it. What we do not do: we do not collect dues online, offer payment plans, bank or keep the books, report to a national headquarters, or build a public website. A community space holds 20 people, alumni who keep their own profile count toward that, and a roster space for the whole chapter lets members see the officers but not each other. It runs on iPhone, Android and the web, with no ads and a full data export on every plan.

Cost: $6/mo or $60/yr for one household on the Family plan, 30-day free trial with no card. One officer sponsors the chapter's space and everyone else joins free. A Family plan's space holds up to 8 people and 10 apps; Organization ($30/mo or $300/yr) sponsors three spaces of up to 20 people and 14 apps each, or a roster space of up to 200 members for announcements, attendance and RSVPs. The Community add-on ($30/yr) adds three more spaces to any plan, or three on its own without one, and four more apps in every space; it does not raise how many people a space holds.

  5. WildApricot

Best for: An alumni association or club that needs a public website, dues and automatic renewals

The membership lifecycle done automatically: renewal reminders, recurring dues and lapse rules tied to payment, on top of a website builder with members-only pages, an online directory, events with registration and waitlists, email campaigns, donations, an online store and financial reports with a QuickBooks export. Count your alumni before you choose a tier: every contact counts, including event registrants and donors, and once you reach the limit you cannot add another until you upgrade. It has polls and elections for active members, but it cannot show who has not voted or remind them. It is a Personify product, with separate member and admin apps on iPhone and Android.

Cost: Priced by contacts, with every feature on every plan: $66/mo for 100 contacts, $82 for 250, $154 for 500, $265 for 2,000, up to $992 for 50,000; 10% off paying a year ahead, 15% for two. A free trial of 60 days with no card, no free plan. Its own card processing is 2.99% + $0.30 (3.5% + $0.30 for Amex); a US or Canadian account that uses PayPal, Stripe or Authorize.Net instead pays a servicing fee of 20% of its subscription.

  6. ClubExpress

Best for: A club or association with several chapters and a lot of volunteers

The widest set of modules here for a volunteer-run club: automated renewals, committees with elected positions and terms, chapters, districts and regions, events with registration and attendance, volunteer slots with hours reports, a document library, discussion forums, blast email, surveys that can run a club election, donations, a store and a website. Several useful pieces are paid add-ons, among them the QuickBooks integration ($20/mo), a task manager ($20/mo) and virtual membership cards ($200/yr), and it says itself that it is not a full accounting system. Its app is for members only; officers run the club from the website.

Cost: Per active member per month: 42¢ up to 200 members, 38¢ to 300, 34¢ to 500, 30¢ to 1,000, with a $24 monthly minimum; expired members and contacts who never log in are free. A one-time setup fee from $150 (one data import) to $3,800. A free trial of 60 days with no card. Card processing 2.99% + 30¢ through your own Stripe account, or 3.99% + 30¢ when ClubExpress collects the money and splits it between chapters; bank payments 1.5%.

  7. MemberPlanet

Best for: A chapter or alumni group whose main job is collecting dues and donations

Dues collection first: membership levels with recurring dues and renewal notices, payment forms, event tickets, donation pages, email and text broadcasts, surveys, discussion boards, a member directory and membership cards, with unlimited members and admins. Its FAQ says the charges members ask about most are fraternity and sorority dues. Read the plan labels: polls for officer elections and the Participation Tracker (attendance, volunteer and study hours, points) are Enterprise-plan features, documents are stored only by linking a Box account, and there is no QuickBooks integration, only an Excel export. One app for admins and members on iPhone and Android.

Cost: Its pricing page would not load for us in September 2026, so we quote no monthly price. Its help center describes two charges on every payment: a platform fee that depends on the plan, plus 3% + $0.30 processing — 4% + $0.30 in total on the Pro plan. Enterprise plans for national organizations carry a startup fee and a monthly subscription, not published.

Prices and features are from each product's own site as of September 2026; where a product has a head-to-head page here, its entry restates that page. Products change — always check the other product's site for current details.

Choosing between them

  1. Ask your headquarters and your campus first. If either already pays for OmegaFi, ChapterBuilder, MyChapterRoom or a re:Members product, that is usually the answer for the job it covers.
  2. If the treasurer's problem is billing members, payment plans and a chapter bank account, OmegaFi.
  3. If the problem is attendance, excuses and points for every member, MyChapterRoom.
  4. If the problem is recruitment, ChapterBuilder, free for a small team and priced in public.
  5. If you are an alumni association or a club that needs a website and renewals more than a recruitment pipeline, WildApricot, or ClubExpress when there are several chapters and many volunteers.
  6. If collecting dues and donations is the whole job, MemberPlanet.
  7. If the exec needs one place for the pipeline, the votes, the points, the roster and the handover, and dues already arrive another way, that is what we built.

Price per member, per chapter, or per exec

The club tools here are priced by the size of the list: WildApricot by contacts, ClubExpress by active members, and a chapter with a long alumni list pays for every name on it. The Greek products are mostly quoted per chapter after a demo, and the money products earn on each payment as well. Ours is priced by one officer's plan and the size of the space, not by members, and it collects no payments, so it has no processing fee. The trade-off is the size limit above: the working space fits an exec and its committees, not a chapter of eighty who all collaborate in it.

re:Members, Hivebrite and Almabase

re:Members is the name Billhighway, greekbill and ChapterSpot have shared since January 2025. Its Greek products are Choice Finance (formerly greekbill), which a single chapter can start without its headquarters' approval; Unified Finance (formerly Billhighway), sold to headquarters with shared banking and CPA-filed tax returns; and a CRM for headquarters built on Salesforce. None of them publishes a price, and we found no recruitment, attendance or points tools on its pages.

Hivebrite and Almabase are alumni platforms for universities and large institutions. Hivebrite starts at $895 a month billed yearly; Almabase prices by the size of the alumni base and publishes no figure. Neither is priced for one chapter.

What none of them does

None of these replaces your national organization's policies, your risk management training or your chapter's bank. None imports another's history, so export the roster, the alumni list, the dues records and the documents before you switch. And software does not make a vote valid: your constitution and bylaws set who may vote, the quorum and the notice, and the software only helps you follow them.

The feature list is not fixed

Every other product on this page is a fixed set of features: it does what it does, and a need it did not anticipate gets a no. Chickadee Bandit is built from small apps, and a household can add one of its own. An admin describes the app in a paragraph on the Apps page and the hub builds and installs it, using the AI credits that come with every plan; someone who writes code can start from any of the open-source apps and install their own version from a URL. A custom app gets the same checks as the ones we ship: it declares what it reads and writes, keeps its data in your household's own database, and the hub refuses anything it did not ask for.

Where this list comes from

We make one of the products on it, and it is marked. Every claim about another product was checked against that product's own pricing and feature pages on the date above — not against another review site — and where we could not find a published price we say so rather than quote one. The order is by what each product is for, not a ranking of merit.
